Job Summary


As the Systems Operations Coordinator, reporting to the VP of Technology Services, this role provides support to the systems department in a very dynamic and fast-paced environment. You will be responsible for the communications and well being of the systems team across multiple locations. This includes organizing departmental meetings, assisting with performance reviews and performing team health checks.


Education, Qualifications And Experience


Formal Education


  • High school diploma.


Experience


  • Previous experience coordinating a department or an office in a high-pressure environment
  • Previous experience working with knowledge bases and wikis such as confluence or SharePoint
  • Exposure to project management solutions like Jira or MS project
  • Familiarity with power automate, Zapier or any other iPaaS solution.


Skills And Responsibilities


Methods and Tools


  • Provides support on the use of existing methods and tools in the business environment.
  • Configures methods and tools within a known context.
  • Creates and updates the documentation of methods and tools.
  • Tailors processes in line with agreed standards and evaluation of methods and tools.
  • Reviews and improves usage and application of methods and tools.
  • Creation and maintenance of departmental management tools, such as spreadsheets, presentation and memos
  • Suggest tools and workflows to improve the efficiency of sharing information internally and externally


Knowledge Management


  • Organises knowledge assets and oversees the life cycle of identifying, capturing, classifying, storing, and maintaining assets.
  • Facilitates sharing, collaboration and communication of knowledge. Implements specific knowledge management initiatives.
  • Monitors the use and impact of knowledge.
  • Interrogates existing knowledge content to identify issues, risks, and opportunities.
  • Own and administer the systems specific spaces within the knowledgebase. This includes automated document review processes & procedural templates.


Employee Experience


  • Supports the Systems Team in various areas, such as, organisational contacts, communication channels, processes, and documentation.
  • Organize social events and fun internal and external activities.
  • Be an advocate for the Systems Team and interact with different departments, including local and global teams of management, technical staff, coordinators.


Resourcing


  • Supports managers and teams in resourcing and recruitment activities.
  • Uses recommended tools for planning, scheduling and tracking resourcing activity.
  • Provides guidance on resource management and recruitment software, procedures, processes, tools and techniques.
  • Assists with the onboarding and offboarding processes.


Business Administration


  • Assists with administrative tasks for a team.
  • Assists the team/manager in ensuring they have the information needed to support ongoing team processes.
  • Assists in planning for meetings.
  • Sets up and provides detailed guidance on software, procedures, processes, tools and techniques for administration and workplace productivity.
  • Liaises and organises across functions. Updates and maintains office policies and procedures.
  • Automate repetitive administrative tasks using iPaaS (integration platform as a service) solutions


Other


  • Track leave requests and attendance; collate forms and reports and distribute to management and finance.
  • Facilitate probation and performance reviews.
  • Collect, analyze, and report department data to management.
  • Building and maintaining relationships with key people in the organization.
  • You will establish a clear understanding of the company's vision, goals and strategy and actively contribute to the achievement of the goals and execution of the strategy.
  • Results-oriented with a history of consistently meeting deadlines.
  • Excellent written and spoken technical English.
  • Ability to work with distributed teams


The anticipated base salary for this position is $68,000 to $75,000/yr. Benefits are per company policy: which include healthcare, tuition reimbursement, RRSP's, Sick and Vacation leave, standard increases as applicable. The actual base salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location of the position.
